Utility and show service costs cover the behind-the-scenes essentials like power, internet, and material handling. They are provided by the trade show venue or its official contractors. These services are essential to keeping your exhibit functional, safe, and up to spec, but they’re rarely included in your booth space rental.
Utility and show services typically include:
- Electrical Power ($150-$300). Need lights, screens, or charging stations in your booth? You’ll need to pay for power drops, connections, and potentially labor for installation. Costs are based on wattage and booth layout.
- Internet and Wi-Fi ($500-$1,500 per device). Whether you’re running interactive displays or capturing leads online, wired internet is often preferred—but it’s not cheap. Venues may charge per connection or bandwidth.
- Water, Drainage, and Air. Exhibits with fountains, sinks, or air-powered machinery may require plumbing or compressed air services. These are billed separately and often come with additional setup fees.
- Rigging Services ($200+ per hour). Overhead signage or lighting elements that hang from the ceiling require certified riggers. This specialized labor must be scheduled and paid for through the venue.
- Cleaning Services ($0.50-$1.00 per sq. ft. per day). Vacuuming and trash removal aren’t always included. Nightly booth cleaning is often charged per square foot, so larger booths can rack up cleaning fees quickly.
- Furniture and Equipment Rentals. Need tables, chairs, or carpeting? Renting through the venue is convenient, but not always cost-effective. Prices may be significantly higher than third-party options.
- Drayage ($100-$150 per 100lbs.). This covers moving your freight from the dock to your booth, storing empty crates during the show, and returning them after. It’s often one of the most misunderstood but expensive line items.
